MEETING AT MALONJENI GUEST FARM, 17 FEB 2007

These are just a few notes on what I can recall from the Meeting at Malonjeni. Maybe they can serve as some sort of guideline for further planning.



1. Venue: UCT Sports Center

• Confirmation of dates and hall booking with Sportsadmin
• Enquire on Audio-visual Equipment from UCT
• Enquire with Sports injuries clinic on medical service
• Separate changing facility for instructors?
• UCT Club restaurant could be approached for lunch arrangement
• Backup for powercut?
• Security
• Make options for parallel and joint sessions possible

2. Dates

• Proposed: 27 Nov – 2 Dec 2007 (Finalize!)

3. Registration

• Official deadline for registration: End of August
• First deadline: End of June, then extend
• Fees: approx. R1000

4. Opening and closing dinner

• Opening Dinner for Instructors only?
• Proposed Venue for closing Dinner: Moyo, Spier
• Cost and implications for locals (subsidization from AFSA?)
• Transport from and to the venue

5. Program

• List of instructors and therefore program will only be finalized shortly before the event
• Provisional Program to be discussed

6. Embukai

• Saturday, 1 Dec (Afternoon)
• Duration: 2hrs?
• Strong feeling against involvement of other martial arts
• Strong feeling against involvement of Non-AFSA Aikido schools (to be discussed)… AFSA Showcase?
• Show by region instead of by grade?
• Ideas for Show: Drums, Taiko, create ‘African feel’, Message from Mandela?
• Anything special on ‘Women in Aikido’?
• Involvement of Kids
• Advertising for the Embukai of great importance

- locally: Posters, Papers, Magazines,… more ideas?
- nationally: through AFSA

7. Grading

• No Grading will take place at the event

8. Tatami

• Enquire with Judo SA (down payment of insurance?)
• Have Tatami made locally (Ghalib)

9. Gifts

• Scarf, Pen, Towel, T-shirt,…
• Get estimation on cost for gifts
• Do we want any event items for sale?

10. AFSA publication and exhibition

• Decide on format and content
• Start collecting material
• Design (Can we do it ourselves?)

11. Fundraising and Sponsorship

• Fundraiser? Advertising agency?
• Presentation to sponsors must be professional (decide on strategy)
• Coverage for sponsors: TV, Transport, video footage,…
• Collaboration with Nippon Club

12. Marketing

• Logo design, ideas from outside (email) to Lisa
• Bringing together the Aikido world at the tip of Africa
• Website: Info on AFSA background and Event, Registration forms and details on procedure, Sightseeing packages, Accommodation details and packages (link to B&B websites?), address security issue
